class="ez-toc-section-end">

An incoming committee receives a list of arrears but no explanation of a resident's credit adjustment. The resident says the outgoing treasurer approved it, while the new team sees only a balance. A useful handover would include the charge history, receipt evidence, adjustment approval and any outstanding qualification. The new committee can then investigate the account instead of deciding whom to believe. Apply the same principle to maintenance: distinguish work requested, approved, completed and paid. Those are different stages and may have different supporting records.

Agree the handover date and reporting period

Choose the date at which balances and open items will be presented. Record any collections or expenses that arrive after the report is prepared. Explain the difference between the reporting date and the date access changes. This prevents both teams from making decisions using different versions of the same financial position.

Prepare a reconciled account pack

Include the unit register, opening balances, charges, receipts, adjustments and closing arrears. Identify unmatched receipts and disputed items separately. Provide the supporting records needed to investigate them. An incoming committee should be able to distinguish an unresolved question from an approved balance without relying on the outgoing treasurer's memory.

List commitments that remain open

Record ongoing maintenance, approved work awaiting completion, supplier enquiries and resident issues requiring follow-up. Give each item a status, responsible contact and next step. Preserve important supporting documents and approval history. Do not treat a list of expenditure totals as a substitute for understanding work the estate has already committed to.

Transfer access without erasing history

Use named accounts and review each person's responsibilities. Remove access when a role ends while preserving the records of decisions made during that role. Check communication accounts and shared document locations as well as the estate platform. Avoid handing over a single shared password as the entire transition process.

Hold a walkthrough with exceptions

Ask the incoming team to trace one resident balance, one approved expense and one unresolved maintenance request. Note missing information and assign an owner to complete it. Record acceptance of the handover pack and any outstanding qualifications. A short working session often reveals gaps that are difficult to spot in a pile of files.

A quick reference for your team

Handover pack

Include

Resident accounts

Unit register, balances and unresolved disputes

Collections

Matched receipts and unmatched-payment list

Maintenance

Open work, approvals and next actions

Suppliers

Commitments, responsible contacts and supporting documents

Access

Named roles and date of responsibility transfer

Give residents a clear point of contact

Explain who now handles balance queries, maintenance requests and administrative corrections.
